Privacy Policy & Booking Terms
How we handle personal information and the terms for booking onsite training with ASTS.
Privacy Policy
Effective 11 October 2026
1. About this policy
Australian Safety and Training Solutions Pty Ltd (ASTS, we, us or our) provides onsite training, assessment and Verification of Competency (VOC) services, and safety and workforce support services. This policy explains how we handle personal information about people who enquire about, book, participate in or otherwise deal with these services.
We aim to handle personal information consistently with the Australian Privacy Principles and comply with privacy laws that apply to us. Nationally recognised training delivered under our agreement with Halo Nation Training Pty Ltd (RTO 32485) also involves records and privacy obligations managed by that registered training organisation (RTO).
2. Information we collect
We collect information reasonably needed for the relevant service. Depending on your enquiry or enrolment, this may include:
- Your name, contact details, employer, job role and authorised booking contact details.
- Course requirements, site location, proposed dates, participant numbers and relevant site or equipment information.
- Enrolment details, identity and eligibility information, existing qualifications or licences, and a Unique Student Identifier (USI) where required for nationally recognised training.
- Attendance, assessment evidence, results, logbooks, competency and VOC records, and relevant correspondence.
- Information needed to arrange reasonable learning support or safe participation, such as relevant accessibility or health information.
- Invoicing and payment records, feedback, complaints and their outcomes.
- Photographs, video or testimonials where a specific purpose and appropriate permission or other lawful basis have been established.
We only seek sensitive information where it is reasonably necessary and you consent, or where collection is otherwise required or authorised by law. Please do not put identity documents, USIs or medical details in the website's general enquiry form. Contact us to arrange an appropriate way to provide them.
3. How we collect and use information
We collect information directly through enquiries, forms, enrolment documents, email, telephone and training or assessment activities. We may also receive relevant information from your employer, an authorised booking representative, a trainer or assessor, or Halo Nation Training. An employer providing participant details must have authority to do so and make this policy available to those participants.
We use information to respond to enquiries, prepare quotes, arrange bookings, check course prerequisites, support safe participation, deliver and assess training, maintain required records, arrange certification through the responsible RTO, manage accounts and complaints, and meet lawful reporting obligations.
You may make a general enquiry without identifying yourself where practicable. We will explain if particular information is needed to enrol, assess, issue certification or provide a requested service. Collection notices and consent forms supplied for a course give further details, including any mandatory reporting.
4. Who may receive information
We disclose information only where reasonably necessary for the stated purpose, with your permission where required, or as permitted or required by law. Recipients may include:
- ASTS personnel and authorised trainers or assessors who need the information for their work.
- Halo Nation Training for enrolment, assessment, certification, quality assurance and required training records.
- The employer or authorised organisation paying for training, for agreed and notified reporting such as attendance, progress and results. Personal health or support details are not routinely included in employer reports.
- Service providers supporting website hosting, email, business administration, records or payment processing, and professional advisers or insurers where needed.
- Training, licensing, safety or other government authorities where disclosure is legally required or authorised.
For nationally recognised training, the RTO may have reporting obligations involving the National Centre for Vocational Education Research (NCVER) and relevant government bodies. The applicable enrolment privacy notice explains these obligations. USI access and use are handled subject to the relevant permissions and legal requirements. See Halo Nation Training’s Privacy Policy for information about records it holds.
5. Website services and overseas processing
Our website uses Webflow, and our business communications use Google services. These providers may process or store information outside Australia, including in the United States and other countries where they or their service providers operate. Locations can change; contact us for information about providers relevant to your enquiry. We consider applicable privacy requirements when selecting and using service providers.
Website services may collect technical information such as IP address, browser or device details and cookies needed to operate and secure the website. You can manage cookies in your browser, although some functions may be affected. External websites, including LinkedIn, have their own privacy practices.
6. LinkedIn, photographs and marketing
We use LinkedIn to promote ASTS. Identifiable participant photographs or videos, personal testimonials and names will only be used for marketing with separate, voluntary permission. Attendance at training does not itself give marketing permission. Client names, logos and site images are also subject to appropriate client or site approval.
Declining marketing permission will not affect training or assessment. You can withdraw permission for future use by contacting us. We will take reasonable steps to stop future use and remove material we control where practicable, but cannot guarantee removal of copies independently shared by others.
If we send promotional email or other commercial electronic messages, we will obtain any required consent, identify the sender and provide an unsubscribe option. We will action unsubscribe requests within five working days. Essential booking, assessment and service communications may still be sent.
7. Security and retention
We take reasonable steps to protect information against misuse, loss and unauthorised access, alteration or disclosure. Access is limited to people who need it for an authorised purpose, with reasonable safeguards for electronic and paper records.
Information is kept for as long as reasonably needed for its purpose and any applicable training, licensing, tax, contractual or legal requirements. Different records may have different retention periods; RTO records are also subject to the RTO’s requirements. When information is no longer required, we take reasonable steps to securely destroy or de-identify it.
If a data breach occurs, we will assess and respond to it and notify affected people and regulators where required by law.
8. Access, correction and privacy complaints
Contact us to request access to personal information we hold, correct an error, withdraw marketing permission or raise a privacy concern. We may reasonably verify your identity. We aim to respond within 30 days and will explain any delay. If access or correction is refused, we will explain why, where lawful, and the available complaint options.
There is no charge to make an access or correction request. If a lawful, reasonable charge applies to providing access, we will tell you in advance. For records held by Halo Nation Training, we may help direct your request to the RTO.
Please first give us an opportunity to resolve your complaint. If you remain dissatisfied, you may contact the Office of the Australian Information Commissioner where it has jurisdiction, or the relevant authority.

Booking Terms & Conditions
Effective 11 October 2026 • Onsite company group training, assessment and VOC bookings
1. Quotes and booking confirmation
These terms apply to training, assessment and Verification of Competency (VOC) bookings with Australian Safety and Training Solutions Pty Ltd (ASTS). Courses are delivered at the client’s site. Labour hire, safety advisory, sentry and hot shot services are subject to their own written quotations and any service-specific conditions.
Your written quote will identify the course or service, dates, location, confirmed participant numbers, minimum or full-class charge, included services, applicable taxes and agreed additional costs. These terms and relevant participant information will be supplied before acceptance. An enquiry or quote request does not reserve a date or create a confirmed booking.
A booking is confirmed when the authorised client accepts the quote and ASTS confirms the arrangements in writing. Payment is required by the deadline in section 4. Any variation must be agreed in writing. Later changes to this webpage do not automatically change an existing confirmed booking. Mandatory legal rights always take priority.
2. Training, assessment and licensing
Where applicable, nationally recognised training and assessment are delivered under an agreement with Halo Nation Training Pty Ltd (RTO 32485). The enrolment information identifies the responsible RTO and the applicable participant policies. ASTS is not itself the issuing RTO.
Attendance or payment does not guarantee a competent assessment result, a Statement of Attainment or a licence. Participants must meet all applicable training, assessment, identity and eligibility requirements. High risk work licences are issued by the relevant regulator following its requirements; course completion alone is not a licence. A VOC is an assessment of competency for its stated purpose and does not replace a required qualification or licence.
3. Group sizes and minimum booking charges
The confirmed minimum group charge remains payable if fewer participants attend. Minimum booking numbers and maximum class sizes vary by course. The following summary reflects our July 2026 Capability Statement; your quote confirms the requirements for the specific booking.
- Articulated and rigid haul truck, excavator, roller, integrated tool carrier, wheeled front end loader, water vehicle and skid steer loader: minimum 4; maximum 4.
- Gantry or overhead crane, telehandler, and 4WD vehicle courses: minimum 6; maximum 8.
- Work Safely at Heights, Enter and Work in Confined Space, and Gas Test Atmospheres: minimum 8; maximum 12.
- Load Restraint — Load and Unload Goods/Cargo and Secure Cargo: minimum 8; maximum 10.
- Dogging, basic rigging, forklift, boom-type EWP with boom length 11 metres or more, non-slewing mobile crane over 3 tonnes and vehicle loading crane: minimum 6; maximum 8.
- Slewing mobile crane courses, tower crane and reach stacker: minimum 6; maximum 6.
Perth group bookings: the company commits to at least the quoted course minimum. For example, if Load Restraint is booked for the minimum of 8 people and only 2 attend, the company is charged for 8 people. If the accepted quote confirms a larger fixed group or a fixed group price, that agreed charge applies unless ASTS agrees to a change in writing.
Trainer flown to site: where a mining, oil and gas, FIFO or other booking requires the trainer to fly to site, the course is charged at its maximum allowable class size, as stated in the Capability Statement and confirmed in the quote. For example, a Non-Slewing Mobile Crane course with a maximum of 8 is charged for 8 even if only 4 attend.
Lower attendance does not automatically reduce the agreed group charge. Delivery must still meet safe and valid training and assessment requirements. Participants above the agreed capacity require prior approval and may need a separate course. Whole-booking cancellations are dealt with under section 7; missing individuals in a group that proceeds are dealt with under this section.
4. Prices, full payment and additional costs
Full payment is due at least 5 business days before training starts. For bookings confirmed within 5 business days of the start date, full payment is due on confirmation. Training will not commence until the required payment is received.
All amounts are in Australian dollars. Your quote and invoice will clearly show the correct GST treatment, any GST payable and the total amount due. Course prices, inclusions and any offer conditions must be confirmed in a current written quote; an expired promotion is not an ongoing price commitment.
- VOC requested after a licence course: the Capability Statement specifies an additional $250 plus GST per participant where the business requests a VOC with the licence. Any applicable charge and assessment arrangements will be confirmed in the quote.
- Administration: the Capability Statement specifies a $35 hourly administration fee for each day the trainer is onsite conducting courses, for processing Statements of Attainment. The quote will state the chargeable hours, applicable GST and total or agreed basis of calculation.
- Regional and FIFO delivery: travel, flights, mobilisation and other agreed costs are identified in the quote. The client must provide accommodation and all meals for regional and FIFO roles, unless an alternative arrangement is expressly agreed and priced in writing. The full-class billing rule in section 3 applies when the trainer flies to site.
- Extra services: additional assessments, reassessments, equipment, regulator or licence application fees, and changes outside the agreed scope are only charged as disclosed before booking or subsequently agreed in writing.
Employer-funded company bookings are subject to the full-payment requirement above. If fees for nationally recognised training are collected from an individual, applicable RTO prepaid-fee protection rules must also be met. We will not collect more than the permitted amount in advance without the required approved protection arrangements. Any necessary compliant payment arrangement will be confirmed through the RTO before funds are collected.
5. Client site and equipment responsibilities
The client must provide the agreed safe, suitable site, training area and facilities; sufficient suitable equipment in serviceable condition; relevant operating and maintenance information; required personal protective equipment; and access, inductions and permits needed for delivery. The quote or pre-course instructions will identify course-specific requirements.
The client must disclose relevant site hazards, arrange required supervision and release participants for the full training and assessment period. ASTS may pause or decline unsafe or unsuitable activities. We will explain the issue, discuss practical options and disclose any reasonable additional costs before they are agreed. This does not remove any responsibility ASTS or another party has under applicable safety law.
6. Participants and assessment requirements
Participants must satisfy the notified prerequisites, identification and eligibility requirements, attend the required sessions, follow safety instructions and participate appropriately. Depending on the course, prerequisites may include age, existing licences, experience, literacy or numeracy, and a USI.
Tell us about relevant learning or accessibility needs early so reasonable adjustments can be considered without changing required competency or safety standards. Additional training or reassessment may be needed if a participant has not yet demonstrated competency; the arrangements and any additional fees will be explained before agreement. Assessment review and appeal options are provided through the responsible RTO.
7. Client cancellation of an entire booking
Please cancel in writing to leon@austrainsafe.com.au. For a whole-booking cancellation, the maximum cancellation charge for the training component depends on notice received before the scheduled start:
- 10 or more full business days: no training cancellation charge.
- 5–9 full business days: up to 25% of the agreed training fee.
- 2–4 full business days: up to 50% of the agreed training fee.
- Fewer than 2 full business days, or no attendance: up to 100% of the agreed training fee.
These are maximum limits, not automatic charges. Any charge is limited to reasonable, demonstrable loss caused by the cancellation, after allowing for costs saved, reasonable efforts to reduce loss and any replacement booking. Separately agreed, unavoidable third-party travel or accommodation costs may also be charged where lawful. There will be no double recovery, and total cancellation charges will not exceed the total agreed booking value.
Payments already received will be credited against any properly payable amount and the balance refunded. Mandatory consumer rights and applicable participant refund entitlements take priority. For a group that still proceeds, individual absences or a reduced headcount do not automatically reduce the minimum or fixed group charge in section 3.
A business day means Monday to Friday, excluding Western Australian public holidays. Notice is measured in full business days before the scheduled start.
8. Rescheduling and participant substitutions
With at least 5 full business days’ notice, rescheduling can be arranged without an ASTS rescheduling administration fee, subject to available dates. Reasonable, unavoidable third-party change costs already disclosed or approved may still apply. With shorter notice, reasonable additional costs may apply, subject to the loss limits and cancellation caps in section 7. Any new date and charges must be agreed in writing.
A suitable substitute participant may attend without a substitution fee if prerequisites, enrolment and identity requirements can be completed in time. Substitution cannot exceed class capacity or compromise assessment validity. Rescheduling, substitutions or lower participant numbers do not automatically reduce an agreed minimum or full-class booking charge.
9. Participant withdrawals and refunds
The company booking provisions do not remove an individual participant’s rights under applicable RTO policies or law. Halo Nation Training’s current Student Information Handbook provides a full-refund entitlement for eligible withdrawals with at least 10 business days’ notice. The applicable enrolment documents explain the precise conditions and other refund, complaint and appeal options, including where training cannot be provided.
Contact ASTS promptly about withdrawal, illness, hardship or a refund request. We will explain the relevant booking terms and help direct RTO-related applications to Halo Nation Training. Applicable participant entitlements take priority over a conflicting company cancellation provision.
Approved refunds will normally be processed within 10 business days of approval to the original payer and payment method, unless another lawful arrangement is agreed. We will explain any delay. This administrative timeframe does not extend any shorter period required by law.
10. If ASTS cancels or cannot deliver
If ASTS cancels or cannot deliver the booked service, we will offer a suitable alternative by agreement or refund the amount paid for the undelivered service. You do not have to accept a replacement date. We will communicate promptly about weather, access, emergencies or other circumstances affecting delivery and agree a fair response consistent with applicable law.
Nothing in these terms removes a right to a refund, compensation or another remedy that cannot lawfully be excluded.
11. Materials and privacy
Training materials remain the intellectual property of ASTS, the RTO or the relevant owner and may only be used as authorised. Personal information is handled in accordance with our Privacy Policy and the relevant RTO notices. Booking or attending a course does not give permission to use an identifiable participant in marketing; that permission is requested separately.
12. Questions, complaints and applicable law
Contact ASTS first about a booking concern so we can work towards a resolution. Training assessment complaints and appeals may also be made through the responsible RTO’s procedures. Nothing in these terms excludes, restricts or modifies a consumer guarantee or other right under the Australian Consumer Law or another law where doing so is not permitted.
These terms are governed by Western Australian law, subject to mandatory rights and any other law that must apply. This does not prevent you using a court, tribunal or complaint body available to you by law.
